Remember to Leave Room For Flexibility/Input by Jeremy Lyons
When you spend enough time in the tools (e.g., your ATS, CRM, Dashboards, and more) and someone comes to you with a recommendation or idea, you can be real quick to dismiss it or give it the old “We’ll look into it and add it to our backlog.” However, when designing new processes and programs, and when possible, it is better to build in flexibility/places for input. Not only can this help with stakeholder management by encouraging collaboration, but it can also help you uncover any blind spots.
This is a good idea. Is it a new one?
Nope, this concept has actually been echoed for a long time. I was recently reminded of it while reading an article on Japanese pottery philosophy and the Karatsu-yaki style, which is often asymmetrical. The design philosophy of Karatsu-yaki artisans is つくり手八分、つかい手二分 (Tsukurite hachibu, tsukaite nibu), which means “The creator creates 80, the user creates 20.” In essence, it encourages open innovation because it isn’t until the user uses the thing you created that you see how something is being used.
(Editor note: Yes, we know it’s obscure. If you know Jeremy, you know that if there is a topic he will discuss more than RecOps or song lyrics/movie quotes, it is Japan so this is on brand.)
I want to build in flexibility and input, but I’m worried. In the past, when I left space for flexibility/input, people went crazy with their feedback and then got offended when I didn’t implement what they wanted. What should I do?
That is a legitimate worry, and situations like that have happened to us all. We want to be accommodating but not pushovers, in control but not controlling or stifling. The recommendation I would make here is to define the guardrails. The biggest mistake in this is to walk in and say, “Here is the whole thing, give me your thoughts.” Instead, walk in and say, “Here is the current XYZ. I’d like your feedback/input specifically on Z.” In doing this, you will define the guardrail and get more focused feedback as well as a quicker turnaround time (because people know where to look.
